Terms & Conditions – Group Classes & 1:1 Tuition

Effective from September 2026

These Terms & Conditions apply to bookings with The Theatre Club Northwood (“The Theatre Club”, “we”, “us” or “our”), including regular group classes and 1:1 tuition.

By making a booking, setting up a subscription or accepting a place, the parent/carer confirms that they have read and accepted these Terms & Conditions on behalf of themselves and the participating child.

1. Bookings and places

A place is only confirmed once the required booking and payment or recurring subscription have been successfully completed.

Places are subject to availability and are allocated at our discretion. Where a class is full, students may be offered a waiting-list place.

For ongoing classes and tuition, your child’s place is reserved while their subscription remains active and payments are up to date.

The Theatre Club reserves the right to make reasonable changes to class teachers, assistants, rooms, venues and timetables where necessary.

2. Monthly subscriptions

Regular group classes and 1:1 tuition are paid for through a recurring monthly subscription unless otherwise stated at the time of booking.

Monthly fees are calculated to spread the cost of the programme across the applicable subscription period. The monthly payment does not represent payment for a specific number of lessons or classes within an individual calendar month.

The monthly fee therefore remains the same in months containing school holidays, half terms or differing numbers of scheduled sessions.

Subscriptions renew automatically until cancelled in accordance with these Terms & Conditions.

It is the parent/carer’s responsibility to ensure that payment details remain valid. If a payment fails or remains outstanding, The Theatre Club reserves the right to suspend attendance or release the student’s place.

3. Cancelling a subscription

A minimum of 30 days’ notice is required to cancel an ongoing subscription.

Notice must be provided in writing to The Theatre Club. Simply stopping attendance does not constitute cancellation, and payments will continue to be due during the notice period.

The student may continue attending their scheduled classes or lessons throughout the paid notice period.

Once a place has been cancelled and released, we cannot guarantee that the same class or 1:1 lesson time will remain available should the student wish to return.

4. Group classes

Group class subscriptions reserve a place in the selected class for the duration of the active subscription.

No refunds, credits or reductions are provided for classes missed because of a student’s personal circumstances, including holidays, parties, school commitments, illness or other activities.

Where available and agreed in advance, The Theatre Club may occasionally allow a student to attend an alternative suitable class; however, this is not guaranteed and is subject to availability.

Students should arrive promptly and be ready to participate at the advertised class start time.

5. 1:1 tuition

1:1 subscriptions reserve the student’s agreed regular weekly lesson time during The Theatre Club’s published teaching calendar.

Where The Theatre Club’s current rescheduling policy allows, one 1:1 lesson may be rescheduled per half term, subject to sufficient notice and teacher availability. Any additional lessons missed or cancelled by the student are forfeited and are not refundable or credited.

Rescheduled lessons must take place at a mutually agreed available time and cannot be guaranteed at the student’s usual lesson time.

If a student arrives late, the lesson will still finish at the scheduled time.

Repeated non-attendance or late cancellation may result in the regular lesson slot being withdrawn.

6. Classes or lessons cancelled by The Theatre Club

If The Theatre Club cancels a scheduled session and cannot provide a suitable replacement, rescheduled session or alternative arrangement, an appropriate credit or refund will be provided where applicable.

Where a regular teacher is unavailable, we may provide a suitably qualified or appropriate substitute teacher.

In exceptional circumstances outside our reasonable control — including severe weather, venue closure, government restrictions or other events beyond our control — we will make reasonable efforts to provide an alternative arrangement where practicable. This may include rescheduling or moving a session online where appropriate.

7. Trials

Where a free or paid trial is offered, attendance at a trial does not automatically guarantee an ongoing place unless this has been confirmed.

Following a trial, an ongoing place must be secured through the required booking and subscription process.

8. LAMDA and other examinations

Where classes or tuition include preparation for LAMDA or other external examinations, examination entry fees are not included in regular subscription fees unless expressly stated otherwise.

The Theatre Club will advise when we believe a student is ready to enter an examination. Progress varies between students, and we cannot guarantee that a student will take an examination within a particular timeframe or achieve a particular result.

Parents/carers are responsible for meeting examination deadlines and providing any required documents, identification, scripts, lyrics, visual aids or other materials communicated to them.

External examination boards are responsible for their own fees, regulations, scheduling, results and any changes to examination arrangements.

9. Performances, workshops and additional opportunities

Regular membership does not automatically include participation in performances, workshops, festivals, examinations, masterclasses, trips or other additional events unless specifically stated.

Additional opportunities may carry separate fees and their own booking requirements, deadlines and conditions.

Where a student commits to a performance or event, good attendance at required rehearsals is expected. The Theatre Club may adjust a student’s involvement where absence affects the safety or quality of the performance.

10. Attendance, illness and wellbeing

Parents/carers should not bring a child to class if they are unwell, contagious or otherwise unable to participate safely.

Parents/carers must provide accurate information about any relevant medical conditions, allergies, additional needs or other information that may affect their child’s participation and must keep this information up to date.

The Theatre Club will make reasonable efforts to support individual needs where we are made aware of them, but parents/carers should contact us to discuss any specific adjustments that may be required.

In an emergency, appropriate first aid will be administered and emergency services may be contacted where considered necessary.

11. Arrival and collection

Parents/carers are responsible for ensuring that children arrive safely and are collected promptly at the end of their session unless alternative arrangements have been expressly agreed.

The Theatre Club’s responsibility for supervision begins at the scheduled session time when the child has been handed into our care and ends at the scheduled finish time.

Parents/carers must ensure that emergency contact details are accurate and kept up to date.

Persistent late collection may result in additional charges or the withdrawal of a student’s place where it becomes unreasonable or affects safeguarding arrangements.

12. Behaviour

All students are expected to behave respectfully towards teachers, staff and other students.

Bullying, discrimination, aggressive behaviour, persistent disruption or behaviour that places another person at risk will not be accepted.

Where concerns arise, we will normally work with the student and parent/carer to resolve the situation. However, The Theatre Club reserves the right to suspend or withdraw a student’s place where behaviour presents a safeguarding or safety concern or where serious or persistent behaviour makes continued participation inappropriate.

Refunds will not ordinarily be provided where a place is withdrawn as a direct result of serious misconduct.

13. Photography and filming

Photography and filming may take place during classes, rehearsals, workshops and performances.

Images and recordings will only be used in accordance with the photography and media permissions provided by the parent/carer.

Parents/carers are responsible for ensuring that their permissions are accurate and for informing The Theatre Club if they wish to change them.

At performances or events where audience photography is permitted, The Theatre Club cannot guarantee that a child will not appear incidentally in photographs or recordings taken independently by members of the public.

14. Teaching materials and intellectual property

Teaching resources, workbooks, exercises, lesson materials, choreography, arrangements and other original materials created by or for The Theatre Club remain the intellectual property of their respective owners.

The Theatre Club’s own materials are provided for the personal educational use of enrolled students and must not be copied, reproduced, distributed, sold or used commercially without prior permission.

15. Personal belongings

Students are responsible for their own belongings. Parents/carers should ensure that valuable items are not brought to classes unless necessary.

The Theatre Club cannot accept responsibility for loss of or damage to personal belongings except where this results from our negligence.

16. Liability

The Theatre Club will take reasonable steps to provide a safe teaching environment and appropriately supervise students while they are in our care.

Participation in performing arts activities may involve normal physical activity and associated risks. Parents/carers are responsible for informing us of anything that may affect their child’s ability to participate safely.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.

17. Minimum class numbers and changes

Classes are subject to sufficient enrolment. If a class cannot continue because minimum numbers are not achieved, we may offer a transfer to another suitable class or provide an appropriate refund or credit for any paid sessions that cannot be delivered.

We reserve the right to combine classes or make reasonable adjustments to the programme where necessary.

18. Communication

Important information may be communicated by email, the booking system, WhatsApp or other contact methods provided by the parent/carer.

Parents/carers are responsible for providing accurate contact information and checking communications relating to their child’s classes, lessons, examinations and events.

19. Data protection

Personal information is collected and used for the administration and safe delivery of our services, including managing bookings, payments, attendance, emergency contacts and relevant student information.

Information will be handled in accordance with applicable UK data protection law and our Privacy Policy.

The booking platform and other service providers used to administer bookings and payments may process personal data in accordance with their own privacy terms.

20. Changes to fees and these Terms & Conditions

The Theatre Club may review its fees and Terms & Conditions periodically.

Parents/carers will be given reasonable notice of any material changes affecting an ongoing subscription. Continuing the subscription after the notified change takes effect will constitute acceptance of the updated terms, subject to the parent/carer’s right to cancel.

21. Ending a student’s membership

Parents/carers may end an ongoing subscription by providing the required 30 days’ written notice.

The Theatre Club may end a student’s membership or tuition arrangement where there are persistent unpaid fees, serious or repeated breaches of these Terms & Conditions, safeguarding concerns or circumstances that make continued provision of the service unreasonable.

Where possible and appropriate, reasonable notice will be provided.

22. Complaints and concerns

We aim to resolve concerns fairly and promptly. Parents/carers should raise any concerns directly with the Principal of The Theatre Club in the first instance so that the matter can be reviewed and addressed.

23. Governing law

These Terms & Conditions are governed by the laws of England and Wales. Nothing in these Terms & Conditions affects a parent/carer’s statutory consumer rights.

Acceptance of Terms

By completing a booking and/or setting up a recurring subscription, the parent/carer confirms that they:

  • have read, understood and agree to these Terms & Conditions;
  • have authority to make the booking on behalf of the participating child;
  • understand that ongoing bookings operate on a recurring monthly subscription basis and continue until cancelled with the required 30 days’ written notice;
  • agree to provide accurate and up-to-date contact, medical and emergency information; and
  • understand that these Terms & Conditions apply for the duration of their child’s enrolment with The Theatre Club.
